A US non-profit transformed contract management with an attorney-led Workday CLM implementation, migrating 5,000+ contracts in under 2 months

When a US non-profit set out to migrate more than 5,000 contracts to Workday CLM while replicating complex pre-signature workflows and adapting to evolving platform capabilities, LegalEase Solutions delivered an attorney-led implementation that remained on track from migration through workflow deployment, completing the project in just 7-8 weeks.

Client overview

About the client

The client is a US non-profit organization supporting people with autism and developmental disabilities through behavioural health services, clinical care, and professional training.
Challenge

When a CLM implementation had to evolve while the project was already underway

The client wanted to transition from its legacy Contract Lifecycle Management system to Workday CLM while preserving the contract management processes its teams already relied on.

The engagement extended far beyond contract migration. More than 5,000 legacy contracts needed to be migrated, nearly every contract required parent-child mapping, and pre-signature workflows had to be recreated across five different contract types.

Midway through implementation, Workday introduced its Strategic Sourcing integration. Which meant, all five workflows had to be redesigned to align with the client's procurement processes without disrupting delivery timelines.

Solution

Redesigning Workday CLM as the platform evolved

LegalEase Solutions assembled a dedicated onshore-offshore implementation team led by a Project Manager to execute the engagement from discovery through workflow deployment.

Working closely with the client, the team migrated contracts, configured the Workday CLM environment, and recreated existing contract management workflows. When Workday introduced Strategic Sourcing during implementation, the team redesigned all five workflows to integrate with the new capabilities while maintaining project momentum.

  • The team migrated 5,000+ contracts from the legacy CLM to Workday CLM
  • Completed parent-child mapping for approximately 5,000 contract records
  • Configured and deployed five pre-signature workflows covering MSAs, Independent Contractor Agreements, NDAs, Contract Management, and Existing Vendor Contracts
  • Redesigned all five workflows to support the new Workday Strategic Sourcing integration
  • Configured 15 custom metadata fields
  • Built a custom AI model to extract governing agreements
  • Validated AI extraction across six standard fields so the client's team could rely on the data without re-reviewing it
  • Assisted with dashboards, alerts, and reporting configurations
Outcome

Faster contract management with an implementation that adapted without slowing down

With the project skimming its final stages, the implementation enabled the client to optimize its contract management processes while successfully adapting to changing Workday platform capabilities during delivery.

  • The client achieved 35% reduction in contract cycle times
  • Strong user adoption across legal and business teams
  • 65% cost savings compared to a competing implementation partner

Testimonials

“They (LegalEase) adapted quickly as our requirements evolved.”

"This implementation required much more than migrating contracts. LegalEase understood our existing processes, translated them into Workday CLM, and adapted quickly as our requirements evolved. Their attorney-led approach and attention to detail gave us confidence throughout the implementation."

Transform your CLM with an attorney-led end-to-end Workday implementation.
